    Senior Pharmacy Operations Manager 

     

    Full Time - Pittsburgh

     

    The Senior Manager of Operations is responsible for leading development and adoption of operational programs required for the achievement of the pharmacy’s strategic vision. The Sr. Manager is responsible for managing an operations management team and work to ensure the team collaborates with technical and functional project teams, operation teams and other corporate departments as needed for success. Is responsible for setting parameters for efficiency and oversees the workflow of each pharmacy operations department.

    Under the direct direction of Chief Pharmacy Officer, the Senior Manager of Operations is responsible for the strategic oversight, administration and management of operational programs. Senior Manager is responsible for leading an operational team of managers and associates by establishing goals and expectations for team oversight, setting direction and influencing team performance through the development and coaching of managers. This role is responsible to ensure that each pharmacy operations is operating in accordance to customer service levels, compliance standards and operational efficiency.  This role may collaborate with the Purchasing Manager and Quality Director.

     

    Responsibilities

    • Measure, monitor and report on KPI’s with client as well as internal standards
    • Develop and adhere to budgetary guidelines
    • Develop and implement customized Standard Operating Procedures (SOP) to accommodate the specific needs of all product inventories, and manufacturer fulfillment/shipping needs
    • Manage data to ensure efficiency, meet productivity metrics and avoid duplication of efforts and waste
    • Responsible for operational leaders to achieve stated goals and accountabilities including productivity and quality improvement initiatives
    • Establish reporting and approval procedures: delegate authority to managers for them to guide the work of others
    • Oversee daily goals and specific duty assignments for department managers and monitor prescription workflow queues for appropriate and timely follow through
    • Appropriately recognize organizational lines within functional areas; keep managers informed of matters affecting their work and interests; interpret and explain policies and procedures, department and pharmacy objectives, operations, services, organization, budget and seek comments and suggestions from managers and employees.
    • The position is responsible for annual strategic planning for site operation and will set and manage budget to meet corporate cost-per-fill goals.
    • Periodically report site production and costs to management
    • Support executive team leaders to achieve assigned revenue, profitability, operational and sales objectives.
    • Analyze current trends and forecast future operational efficiencies for the functional areas and pharmacy operational teams, consulting with senior leaders on recommended changes and improvements.
    • Monitor key performance indicators to ensure desired interim progress and final outcomes are achieved
    • Assist with the operations impact of the projects from inception to implementation, ensuring system enhancements, process flow changes, communications, controls and reporting is coordinated and completed as required
    • Work closely with operations management team to ensure that team is meeting service levels and to seek ways to improve operational performance
    • Establish operational metrics and productivity levels.
    • Cascade communication from leadership to direct reports
    • Performs related duties as assigned

    Qualifications

    • Bachelor’s Degree in Healthcare or Business-related field
    • 3+ years management experience in a pharmacy setting with a focus on lean methodology and quality improvements
    • 5+ years Operations and Automation experience
    • Logistics experience preferred
    • Inventory management experience preferred
    • Experience in a high intensity, fast paced production environment
    • Excellent communication, organizational, and interpersonal skills
    • Basic Six Sigma and/or Lean management knowledge
    • Continuous improvement and quality centric focus
    • Must complete state required bi-annual continuing education requirements for licensure
    • PC skills including proficiency in Microsoft office
    • Advanced problem solving skills with the ability to work cross-functionally to resolve issues and generate results among potentially conflicting constituencies; Analytical thinking, demonstrated ability to leverage data for problem solving; Basic financial analysis skills.
    • Demonstrated ability to delegate to direct and indirect reports, ability to focus on top priorities.
    • Excellent communication skills, including written and verbal.
    • Able to work towards specific deliverables within a environments of tight deadlines and significant pressure
    • Excellent customer service skills required
    • Experience using data analytics and reporting as a means to manage
    • Operational decision-making (staffing, demand planning, quality, etc).
    • Proven leadership skills, team-orientation and a proactive and optimistic management style.
    • Ability to manage toward budget, service and quality goals.
    • Travel up to 25%
