Critical to HarmarVillage’s success is the ability to work with Medicaid to properly service residents and, ultimately, accurately bill and generate payments accordingly. Responsible for this important work is the Admissions/Medicaid Clerk, who assists the RN Case Manager and Director of Admissions in a host of diverse tasks.


  • Serving as the Medicaid support person for all residents/responsible parties, and providing ongoing feedback and assistance, as needed
  • Assisting families in completing the medical assistant application at the time of admission or when private pay funds are exhausting
  • Creating ongoing relationships with area medical professionals and social workers who require nursing home services for their patients/clients
  • Answering inquiries from prospective residents/families as well as social workers and physicians, then providing tours of the center, as requested
  • Aiding in the application and admission process for all new residents, including interviews and pre-admission care conferences
  • Assessing incoming residents’ needs, and communicating service approvals to the appropriate departments
  • Providing all new residents and families with proper information, including admissions packets and rights overviews
  • Evaluating the integration of new residents within the initial days and weeks of their admission
  • Aiding in administrative, support and clerical tasks, as instructed


All applicants must have at least one year of experience in both a clerical and healthcare environment, with some experience specific to the Medicaid system. A high school diploma or GED equivalent is required, as is a basic knowledge of insurance/medical terminology and personal computer operations.
